# Common tweaks

Worked examples of the changes most customers make after the Guided Setup.

Each example ends with **Save**, which writes the change to the draft. Callers only get it after you **Publish**. See [Test and publish](/smart-receptionist/content-settings/test-and-publish.md).

## Help the receptionist recognise a colleague

Callers rarely use a full name. Add aliases and a role so the receptionist finds the right person.

1. Go to **Content → 4. Colleagues** and open the colleague.
2. **Aliases:** add first names, nicknames, likely mishearings and role words, separated by commas.
3. **Role:** one line about who this is, for example *Product owner for the Smart Receptionist*. The AI uses it to understand requests and never speaks it.
4. Click **Save**.

The role also shows in the list header."><figcaption><p>A colleague with a role added (name blurred). The role also shows in the list header.</p></figcaption></figure>

{% hint style="info" %}
To stop people being put through to someone directly, switch off **Reachable by name**. Callers who ask for that colleague are connected to their department instead.
{% endhint %}

## Close on a public holiday

1. Go to **Content → 6. Timeplans** and open **Office hours**, or the timeplan of a department or colleague.
2. Click **Add rule**.
3. **Open or closed:** **Closed**. Closed rules always win over open rules.
4. **When:** **A public holiday**, then pick the **Holiday**, for example *NL – Eerste kerstdag*. The list has public holidays for several countries.
5. Optionally, set **From** and **Until** to close for part of the day only.
6. Click **Save**.

<figure><img src="https://3570729730-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FHmRSkEkoJwaBZ2OeQbHM%2Fuploads%2F8zaAPEYueF4HVGy5ajUb%2Fsr-47-content-6-holiday-rule.jpg?alt=media&amp;token=b4dc139a-8439-4e65-984b-4713a89b90a8" alt="A closed rule for Christmas Day"><figcaption><p>A closed rule for Christmas Day</p></figcaption></figure>

Use **One day** or **A period** for one-off closures, such as a company outing.

## Have the receptionist introduce itself by name

The **Name of the receptionist** (10. Persona) isn't spoken by any standard sentence.

1. Go to **Content → 11. Phrases**.
2. In **Greeting**, type a sentence that contains `{{assistant}}` (the receptionist's name) and, if you like, `{{company}}`.
3. Click **Save**.

{% hint style="warning" %}
**Don't remove the AI disclosure.** The **AI disclosure** line (and **Chat: AI disclosure** for chat channels) is always spoken as written, straight after the greeting. The EU AI Act (Art. 50) requires it, so don't leave it blank.
{% endhint %}

## Make the receptionist more or less free in its wording

In **Content → 10. Persona → Wording**:

* **Flexible.** The receptionist words the standard sentences itself. A sentence you type in 11. Phrases is still spoken as written.
* **Fixed.** Every sentence is spoken exactly as written.

The AI disclosure, the keypad menu and the announcement to a colleague are always spoken as written.

{% hint style="info" %}
If you change **Form of address** in 10. Persona, run the **Guided setup** again. It rewrites the sentences in 11. Phrases in the new form.
{% endhint %}

## Filter sales calls

1. Go to **Content → 8. Spam calls** and keep **Recognise spam calls** on.
2. **What counts as spam here:** describe the callers to filter, for example recruiters or people offering advertising. This is added to the AI's own definition and never spoken.
3. **What happens:** **Decline** (say no and hang up) or **Note** (take a short message, then say goodbye).
4. Optionally, set the sentences, a separate message template and a separate email address for spam messages.
5. Click **Save**.

{% hint style="warning" %}
**What is said when declining** is also used in chat, so don't mention the telephone in it.
{% endhint %}

## Put urgent calls straight through

1. Go to **Content → 9. Emergencies** and switch on **Recognise emergencies**.
2. **What counts as an emergency here:** for example *a water leak or a gas smell*. A spoken emergency is only recognised when this is filled in.
3. **Where an emergency goes:** **A number** (called at once, with a message if nobody answers), **A department** or **A topic**.
4. For a number: choose the **Emergency number** and the **Spoken name**, spoken as *"I'm connecting you to {name} right away."*
5. Optionally, switch on **Also send an SMS (text message) about every emergency**.
6. Click **Save**.

{% hint style="info" %}
The emergency number is called once, at any hour and regardless of presence. Emergency SMS messages are charged separately, per message and per number.
{% endhint %}

## Change what a message asks for

1. Go to **Content → 12. Message templates** and open **Callback request** (or click **Add** for a new template).
2. Under **What to ask**, open a field to set the **Example question**, whether it's **Mandatory**, and what to do **When the value is already known**: *Use it – do not ask*, *Confirm it with the caller* or *Ask again anyway*.
3. Adjust **Message subject** and **Message body**. Type `/` to insert a variable.
4. Click **Save**.

<figure><img src="https://3570729730-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FHmRSkEkoJwaBZ2OeQbHM%2Fuploads%2FhtYuxM5uwy7i8RvIJSQ3%2Fsr-54-content-12-template-expanded.jpg?alt=media&amp;token=34277679-6398-4262-8003-56c48cb2d44c" alt="The Callback request template"><figcaption><p>The Callback request template</p></figcaption></figure>

A message is only complete when every mandatory field has a value.
