# Company, front desk and hours

Guided Setup steps 2 to 4. Tell the receptionist who it works for, who takes over, and when the phone is answered.

## Step 2: Company

*Who is the receptionist working for?* The fields are pre-filled from the website. Correct or remove anything that's wrong.

| Field                         | What it's for                                                                                                                        |
| ----------------------------- | ------------------------------------------------------------------------------------------------------------------------------------ |
| **Company name** (required) | As callers know it. Spoken in every greeting. |
| **What does the company do?** | One or two sentences the receptionist may tell callers who ask. |
| **Address** | For callers who ask where you are. |
| **General phone number** | Given to callers who ask how to reach the company by phone. |
| **Public email address** | Given to callers who ask where to email. Messages for colleagues go to the front desk address in the next step, not to this address. |
| **Name of the receptionist** | The receptionist introduces itself with this name. |
| **Form of address** | **Formal** (*u, Sie, vous, usted*) or **Informal** (*je, du, tu, tú*). The standard sentences follow this choice when you finish. |

{% hint style="warning" %}
**The receptionist name isn't spoken automatically.** None of the standard sentences contain it. To have the receptionist introduce itself by name, add `{{assistant}}` to a sentence in **Content → 11. Phrases**, for example the greeting. See [Common tweaks](/smart-receptionist/content-settings/common-tweaks.md).
{% endhint %}

## Step 3: Front desk

*Who takes over when the receptionist cannot place a call?* The front desk gets callers who just want a person, subjects without a department, and departments nobody answers.

1. Pick the **front desk number**: one of the queues or call groups found in Enreach Contact, **Another number…** (a queue, call group or phone number you type in), or **Take a message** if there's no front desk number.
2. Enter the **Front desk email address** (required). Every message goes here unless a department or colleague has an address of its own. **Pick a mailbox that somebody reads.**

<figure><img src="https://3570729730-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FHmRSkEkoJwaBZ2OeQbHM%2Fuploads%2FeqflAnYwEi3vuXjKR455%2Fsr-21a-gs-3-frontdesk-top.jpg?alt=media&amp;token=48a1211d-411e-4655-ae31-2df0e1af29e4" alt="Step 3: choose the front desk queue and email address"><figcaption><p>Step 3: choose the front desk queue and email address</p></figcaption></figure>

{% hint style="success" %}
**Best practice:** use a queue or call group, not a single phone, so callers don't end up on one busy line.
{% endhint %}

## Step 4: Telephone hours

*When is the telephone answered?* Within these hours the receptionist puts callers through. Outside them it takes a message. Callers who ask are told these hours.

* **Office hours.** Switch each day on or off and set the times. The default is Monday to Friday, 09:00 to 17:00.
* **Lunch break from / until.** Closed on every open day between these times.
* **Visiting hours (if different).** One or two sentences, if visiting differs from the telephone hours or needs an appointment. If you leave this empty, the telephone hours count as visiting hours too.

{% hint style="info" %}
Departments and colleagues can get their own hours later, and so can public holidays. Use **Content → 6. Timeplans**.
{% endhint %}
